How it works

This is a managed service. You are not buying software to run — you are handing over the part of month end that nobody wants.

What happens each month

Step 01

Statements arrive

Forward them, or drop them in a shared folder we watch. PDFs, spreadsheets, portal exports — whatever the carrier or MGA sends. You do not reformat anything and you do not fill in a template.

Statements often arrive before the month they belong to has closed. We file each one to the month the money actually lands in, not the month it was sent, so the ledger matches the bank.

Step 02

Every line is read

Each line is parsed into the fields that matter: the policy number, the client, the premium the commission was calculated on, the rate, and the amount.

Carriers are inconsistent in specific, repeatable ways — a commission printed negative against a positive gross, a transaction id glued onto the policy number, the word “Commission” appearing in three different columns. Those quirks are already learned, and they are shared across every agency we work with.

Step 03

Lines are matched to your book

Each line is matched to the policy it pays on. Policy numbers get typed differently on a statement than they were in the agency system, and the same client is spelled three ways across two carriers.

When a match has to be made by hand, it is remembered — the same client and the same carrier will match on their own next month. Corrections teach the system rather than being repeated.

Step 04

What does not reconcile is chased

A line that matches nothing, a payment that is short, a rate that is not the one agreed. This is the part that gets skipped when a person is doing it under time pressure, and it is where the money is.

Some misses are correct and stay misses — an overview page that is not a line item, a carrier that reports differently on purpose. Those are recorded as expected rather than resurfacing every month as false alarms.

Step 05

The month closes

A reconciled ledger, producer payouts, and a list of what is still outstanding. A closed month stays closed: statements dated on or before the closing date are kept as history and never quietly repost.

Once a carrier statement confirms what was really paid, that figure replaces the estimate. Estimates are useful until the money lands; afterwards they are noise.

Anything we have seen before is already mapped. Anything new, we work out — that is our job, not yours, and it is a one-off.

We reconcile that month

You see your own book reconciled, with the misses and the underpayments named. That is the real demonstration, and it is worth more than a slide deck.

You decide

If it is useful, we take over month end. If it is not, you have still learned something about your book.
